What Information Do We Need?

We need your contact details, your name, phone number, address, postcode, and email address. We will also need information about your age and health for a treatment to go ahead.

Why Do We Need It and How Long Will We Retain It?

We need all the details above to ensure that it is safe for us to provide the treatments you may ask for and also for insurance purposes. We will store your information for 7 years after the date of your treatment, or for 7 years after you have reached the age of 18 if you are/were under 18 when your treatment took place. Our lawful basis for processing this personal information is ‘contract’, this means that we have a legal reason to ask you for your data because we need it for contractual reasons. You do not have to share your personal data with us, but if you do not, we cannot offer you a treatment at Sycamore Beauty You must fulfil your side of the contract (share your personal information) for us to fulfil ours (carry out treatment).

How Information Will Be Used?

In law, we can use personal information, including sharing it outside the clinic, only if we have a proper reason to do so, for example:

To fulfil a contract with you i.e. to provide the treatment you have requested and to communicate with you about your appointments.

When it is in our legitimate interest i.e. there is a business or commercial reason to do so, unless this is outweighed by your rights or interests.

When you consent to it: we will always ask for your consent to hold and use health and medical information.

Fresha is the electronic calendar that is used to store appointments and remind clients of their appointments, keep brief client notes and be used for contactless payments.

Clients have the right at any time to not be sent reminders or choose how they would like them either sent via text or email.

Preffered method of contact:

The Sycamore Beauty preferred method of contact is by Fresha appointment app, text, phone or what’s app. If other methods such as messenger are used appointments and information can be missed as it is not used at Sycamore Beauty.

Treating a Minor:

A child (or minor) is someone under the age of 18 in England. Written consent from the child’s parent or guardian for treatments at Sycamore Beauty will be needed for the treatments to go ahead. Parental/guardian consent is also needed for how their personal data is stored.

We would also like to send you information about the products and services we offer using the information you have shared with us, but you do not have to agree to this for treatment to go ahead. When you fill in your initial consultation form at Sycamore Beauty you can agree to being contacted for marketing purposes using the following methods below.
